Client and objective

A commercial bank approached Baltic Business Tour to organise a B2B study trip to Hong Kong and Shenzhen for 16 participants.
The delegation wanted to meet companies and professional organisations working with artificial intelligence, fintech, customer data, platform services, digital transformation and financial technologies.

The bank had identified the subjects it wanted to explore, but it did not yet have a confirmed list of host organisations.
The programme also had to accommodate several arrival dates, a separate executive arrival, business meetings in Hong Kong, a full working day in Shenzhen, academic sessions, dinners and short local activities.

Baltic Business Tour was responsible for developing the B2B programme, contacting suitable hosts and coordinating the travel arrangements around the confirmed meetings.

Development of the B2B programme

The first stage was to identify companies and organisations whose work matched the bank’s areas of interest.
Potential hosts were assessed according to:
  • relevance to banking and financial services;
  • expertise in artificial intelligence, fintech or digital transformation;
  • subjects available for discussion;
  • experience of the proposed speakers;
  • availability on the required dates;
  • location and travel time;
  • working language;
  • visitor access procedures.
Baltic Business Tour prepared a shortlist explaining the possible subject and format of each meeting.
After the client approved the proposed organisations, the selected hosts were contacted directly. The delegation was introduced, the purpose of the visit was explained, and the content, timing and practical format of each meeting were agreed.
The final B2B programme covered artificial intelligence, digital financial services, robotics, industrial technology, platform services and regional innovation projects.

Business visits in Hong Kong

The Hong Kong programme combined company meetings, an innovation centre, a technology park and academic sessions.
It included:
  • an artificial intelligence presentation;
  • a visit to a technology park;
  • a meeting at an innovation centre;
  • lectures and discussions in an academic setting.

For each B2B visit, Baltic Business Tour confirmed:

  • support from the local coordinator.
Meeting times were arranged around travel distances and the time required at each organisation.

The participants also received the hosts’ visitor instructions in advance. These covered photography, video recording, access to restricted areas and movement within the premises.

At several locations, photography near presentation screens and training materials was restricted, while video recording was not permitted.

Cross-border business day in Shenzhen

The Shenzhen programme consisted of two company visits during one working day.
The meetings focused on technology, digital financial services and the use of new tools within large organisations.

The delegation left its Hong Kong hotel at approximately 07:30–08:00. The programme included:
  • transfer from the hotel to the border;
  • entry into Mainland China;
  • transfer to the first company;
  • first business meeting;
  • lunch;
  • transfer to the second company;
  • second business meeting;
  • return crossing to Hong Kong;
  • dinner near the hotel.
A private vehicle and an accompanying coordinator were reserved for the full day. The coordinator remained with the delegation for up to 15 hours.

The schedule included additional time for both border crossings, traffic and visitor registration at the host companies.
Transport between the meetings was arranged according to the confirmed addresses and session duration.

Arrivals, transport and executive support

Participants arrived in Hong Kong on several dates. Some travelled ahead of the main delegation, while a senior participant arrived separately on a long-haul flight.

The transport plan included:
  • airport transfers for small arrival groups;
  • a transfer for the main delegation;
  • individual airport transfers;
  • a separate executive transfer;
  • daily transport in Hong Kong;
  • full-day cross-border transport to Shenzhen;

Entry and travel information

Because the itinerary covered both Hong Kong and Mainland China, the participants required separate practical information for each part of the journey.

  • border-crossing procedures;
  • China Entry Card instructions;
  • medical insurance information;
  • local emergency contacts.
The insurance information covered Mainland China, Hong Kong and Macao.

Baltic Business Tour also held a pre-departure briefing covering the itinerary, transport arrangements, meeting procedures and local requirements.

Local programme and dinners

Local activities were added only after the business meeting schedule had been confirmed.
One programme covered Lantau Island and included:
  • the Big Buddha;
  • Po Lin Monastery;
  • private Crystal Cabin access;
  • priority cable-car entry;
  • headsets;
  • private group transport;
  • dinner after the visit.
Another evening combined a visit to Victoria Peak with dinner.
Restaurant bookings were selected according to the location and finishing time of the business meetings. Transfers were arranged between the final meeting, hotel, restaurant and evening programme where required.

Result

Baltic Business Tour developed a complete B2B programme in Hong Kong and Shenzhen for a 16-person commercial bank delegation.
The final itinerary combined meetings with companies and innovation organisations, academic sessions, a technology park visit and two business visits in Shenzhen.

The programme gave the delegation access to organisations working with artificial intelligence, fintech, digital services and regional innovation.

All meetings were coordinated around the participants’ flight schedules, local travel times and the cross-border journey between Hong Kong and Mainland China.

The client worked through one coordination team for host communication, airport transfers, executive transport, visitor instructions, restaurant bookings, guides and local suppliers.

This allowed the bank’s representatives to concentrate on the meetings and the professional content of the study trip rather than coordinating each organisation and supplier separately.
