Client and brief

A global manufacturer of professional dental products and technologies approached Baltic Business Tour to coordinate a dental conference in Tashkent for 230 participants.

The audience included dental practitioners, business partners, invited speakers and product specialists.

The professional programme covered restorative, prosthetic and digital dentistry. The conference also included a product exhibition, simultaneous interpretation, welcome coffee, scheduled breaks and a buffet-style lunch.

The client required a venue that could accommodate the lecture programme and product exhibition within one property.

The main requirements included:
  • a lecture hall for 230 participants;
  • sufficient space for the product exhibition;
  • access on the previous day for stand installation;
  • a dedicated registration area;
  • separate catering zones;
  • simultaneous interpretation facilities;
  • suitable participant routes between the hall, exhibition and refreshment areas.
Baltic Business Tour was responsible for researching venues, comparing layouts, coordinating local suppliers and managing the operational programme on the event day.

Venue selection and event layout

Several hotels and conference venues in Tashkent were compared for the required date.

The assessment covered:
  • capacity of the main hall;
  • room dimensions and ceiling height;
  • location of the exhibition area;
  • visibility of the product stand;
  • access for installation on the previous day;
  • registration-desk placement;
  • catering capacity;
  • movement between the main event areas;
  • other events taking place at the property.
Some venues had suitable lecture halls but restricted the size or position of the exhibition stand. Others offered more practical foyer space and better supplier access before the conference.

The selected venue had to accommodate registration, lectures, catering and the product exhibition without creating conflicting participant flows.

The product stand could be placed either in a separate room or in an adjacent foyer. Both formats were assessed according to visibility, access during breaks and available installation space.

Dental conference programme

Registration and welcome coffee were scheduled from 09:00 to 10:00, followed by the official opening and the main lecture programme.

The professional agenda covered:
  • direct anterior restorations;
  • modern impression techniques;
  • CBCT diagnostics in different areas of dentistry;
  • CAD/CAM workflows, from single crowns to full-mouth cases.
The sessions included clinical cases, practical protocols, material selection, digital scanning, diagnostics and cooperation between dental clinics and laboratories.

The final lecture session and closing remarks were scheduled between 17:00 and 17:30.

Product exhibition

The product exhibition remained accessible during the scheduled conference breaks.

The stand had to be:
  • positioned on a principal participant route;
  • easy to reach from the lecture hall;
  • large enough for equipment and product displays;
  • suitable for discussions with product specialists;
  • fully installed before registration opened.
The venue provided access on the day before the conference. This allowed the exhibition team to deliver equipment, assemble the stand, test displays and prepare the presentation area in advance.

The stand location and break schedule were planned together so that participants could visit the exhibition without delaying the return to the lecture programme.

Coffee breaks and catering

The catering schedule was aligned with the lecture programme and access to the product exhibition.
The day included:
  • welcome coffee from 09:00 to 10:00;
  • a coffee break from 12:15 to 12:45;
  • a buffet-style lunch from 14:45 to 15:30.
Service capacity was calculated for 230 participants.

The catering areas were positioned so that guests could leave the lecture hall, have refreshments and visit the product exhibition during the scheduled intervals.

The supplier schedule covered preparation times, service periods and clearing before the next lecture session.

Accommodation and supplier coordination

Baltic Business Tour also prepared accommodation options for the organising team and invited speakers.

The hotel comparison included:
  • room availability;
  • rates for the required dates;
  • proximity to the conference venue;
  • arrival and departure arrangements;
  • booking and cancellation conditions.
During preparation, Baltic Business Tour coordinated the venue, catering provider, interpretation team, exhibition suppliers and accommodation arrangements.

The on-site team monitored:
  • access for stand installation;
  • registration setup;
  • headset distribution;
  • catering readiness;
  • lecture-hall preparation;
  • supplier timings;
  • changes during the event day.
