Client and briefA commercial bank approached Baltic Business Tour to organise a business learning and incentive trip to Singapore for 13 senior managers.
The professional programme focused on technology, digital services, payment solutions and customer experience. Outside the working sessions, the group wanted to explore Singapore, dine together and consider several private activities.
The participants travelled on different flights. Some arrived before the main group, while several senior travellers required individual airport transfers. Departures were also scheduled on different dates and at different times.
Baltic Business Tour was responsible for coordinating the itinerary, airport transfers, daily vehicles, Digital Safari logistics, restaurant bookings, evening activities and local suppliers.
Programme planningThe main planning task was to connect the fixed business-learning sessions with separate arrivals, daily transport, lunches, evening reservations and departure transfers.
Several days were built around the Digital Safari programme. Morning departures, movement between venues and return transport were planned according to the confirmed session times.
Longer leisure activities were reserved for the free day. Shorter city visits and dinners were arranged after the professional sessions.
The programme also included a visit related to payment technologies and customer experience.
Arrivals and executive transfersAirport transfers were organised according to each participant’s confirmed flight, terminal and hotel destination.
The planning covered:

Vehicle categories were selected according to passenger numbers and luggage volume. Larger vehicles were considered for participants arriving on long-haul flights with more baggage.

Gardens by the Bay and evening programmeOne evening included a visit to Gardens by the Bay and the light show.
The schedule covered transport from the business venue or hotel, arrival time, walking time, a meeting point for the group and the onward transfer to dinner or back to the hotel.
Other evening formats were considered according to the location and finishing time of the professional programme. These included private dinners, rooftop venues and restaurants with city or waterfront views.
Restaurant coordinationGroup restaurant bookings in Singapore often required more than a standard reservation.
Depending on the venue, the booking conditions included:
- card details as a guarantee;
- 3D Secure confirmation;
- an advance deposit;
- minimum spend;
- confirmation of final guest numbers;
- cancellation or no-show fees;
- reconfirmation before arrival.
Baltic Business Tour reviewed these terms before submitting restaurant options to the client.
The shortlist also took into account travel time from the business venue, the hotel location and the following morning’s schedule.
Deposits, guarantees and confirmation deadlines were monitored until the booking was finalised.
Free-day and private activity optionsBaltic Business Tour prepared a selection of activities for the day without business meetings.
The options included:
- Universal Studios with fast-track access;
- animal parks;
- shopping with private transport;
- private observation wheel cabin;
- yacht or sailing programme;
- guided city routes;
- technology-focused programme ending at the airport;
- half-day and evening activities.
Shorter alternatives included Kampong Glam, Night Safari, Gardens by the Bay, a river cruise and food-focused or green-city routes.
Each option was assessed according to duration, transport, ticket conditions, guide requirements, capacity and available timing.
Vespa sidecar and cocktail programmeOne proposed private activity combined a Vespa sidecar tour with a cocktail masterclass.
The 13 participants would be divided into two groups of seven and six. One group would join the Vespa tour through Kampong Glam and the Civic District while the other attended the cocktail session. The groups would then switch.
The proposed programme ran from 17:00 to 19:00.
Before confirmation, the supplier’s restrictions concerning passenger age, height and weight had to be checked against the participant list.
Private activity planningPrivate observation wheel, yacht and sailing formats were also reviewed.
For each activity, Baltic Business Tour checked:
- group capacity;
- exclusive-use conditions;
- duration;
- food and drink options;
- boarding or arrival time;
- cancellation terms;
- weather restrictions;
- transport;
- departure location.
Longer yacht and sailing programmes required a larger time window and additional catering and transport arrangements.
ResultThe client received a coordinated Singapore programme for 13 senior banking professionals.
The itinerary combined several days of business learning, Digital Safari sessions, a visit related to payment technologies, group dinners and selected city activities.
Individual airport transfers were planned for participants arriving on separate flights. Daily transport connected the hotel, business venues, restaurants and evening programmes, while departure transfers were arranged according to each flight.
