Client and briefAn international investment company approached Baltic Business Tour to organise its annual leadership conference in Belgrade for 88 participants.
The programme brought together a senior management audience for a two-day seminar. It also included a business game and welcome dinner on the first evening, all main group meals and a guided city programme before departure.
The client required a four- or five-star hotel that could accommodate the full group and host the working sessions in the same property.
Baltic Business Tour was responsible for the hotel, conference room, technical setup, simultaneous interpretation, coffee breaks, lunches, dinners, airport transfers, local transport and sightseeing programme.
Participants were arriving on different flights, so the transfer plan also had to include coaches, smaller vehicles, standard sedans and business-class cars.
Conference hotel in BelgradeThe selected four-star hotel was located close to central Belgrade, the historic district, the riverfront and the fortress area.
It served as:
- accommodation for all 88 participants;
- the venue for the two-day leadership seminar;
- the location for coffee breaks;
- the main lunch and dinner venue;
- the setting for the welcome evening.
Using one hotel for accommodation, meetings and most meals removed the need for daily group transfers during the two seminar days.
The hotel also had to provide a restaurant capable of serving buffet meals to the full group within the conference timetable.
Seminar room and technical setupThe conference room was prepared for more than 80 participants in classroom-style seating.
The required setup included:
- reliable internet;
- screen and presentation equipment;
- microphones;
- flipchart;
- air conditioning;
- natural daylight where available;
- space for simultaneous interpretation;
- bottled water for participants.
Baltic Business Tour coordinated access to the room, equipment preparation and technical checks before the working sessions.
The two seminar days included morning and afternoon blocks, two coffee breaks and a buffet lunch. Dinner was also served at the hotel after the working programme.
Coffee-break and lunch service times were agreed with the hotel in advance so that all 88 participants could be served between sessions.
Simultaneous interpretationSimultaneous interpretation was included for the leadership seminar.
The interpreters, technical team, speakers and hotel staff worked from the same conference schedule.

- communication between the interpreters and technical supplier.
The interpretation schedule was aligned with the seminar agenda and catering breaks.
Business game and welcome dinnerA business game and welcome dinner were held on the first evening after the participants arrived and checked in.
The business game included participant introductions and presentations of their companies and professional backgrounds.
Baltic Business Tour coordinated the room arrangement, catering service, event timing and transition from the arrival programme to the evening session.
As participants reached Belgrade on different flights, the start time was planned around the principal arrival transfers and hotel check-in.
Airport transfers and local transportThe group arrived from several locations and on different flights.
The transport plan included:
- a coach for the main group;
- smaller vehicles for limited arrival groups;
- standard sedans;
- business-class cars;
- transport for the Belgrade city tour;
- departure transfers.
Each airport transfer was planned according to the confirmed flight time, number of passengers, luggage volume and vehicle category.
Arrival transfers were also coordinated with hotel check-in, lunch and the welcome evening.
A local representative supported the group during the programme and remained in contact with the hotel, drivers, guide and other suppliers.
Belgrade city programmeThe final full day included a five-hour guided programme in Belgrade.
The route covered:
- Belgrade Fortress and Kalemegdan Park;
- Republic Square;
- the parliament area;
- St Mark’s Church;
- a major Orthodox cathedral;
- the main pedestrian district;
- central residential and diplomatic areas.
The service package included private coach transport, bottled water, an entrance ticket and lunch in the city centre with soft drinks.
After lunch and free time, the group returned to the hotel for dinner.

The accommodation, conference facilities and main meals were organised in one centrally located hotel. No daily transport was required between the hotel and seminar venue during the two working days.
